We’re seeking an Administrative Assistant to strengthen the executional engine behind our CEO, Youssef Hesham, and GM, Fatima Mostafa. Youssef is the founder and CEO of HolyShift Fitness — an 8-figure business today with the vision to scale into a 9-figure company and revolutionize fitness in Egypt. You’ll play a vital role within the HolyShift team, ensuring members are supported, coaches are coordinated, and daily operations run smoothly. This isn’t a traditional ‘back-office’ admin role. It’s a high-stakes, high-detail position where execution, communication, and problem-solving directly impact the experience of our members and the success of our team.
The goal: ensure HolyShift’s leadership team stays strategic by enabling flawless daily operations, logistics, and member care.
Role
Your primary responsibility is to support Fatima and Youssef while coordinating closely with the team. You’ll own workflows, manage communication systems, coordinate schedules, and make sure every logistical and operational detail is handled with excellence.

Responsibilities
Member & Client Support
Respond to member questions quickly and clearly across WhatsApp and other channels.
Solve member problems with urgency, discretion, and professionalism.
Ensure communication between coaches and members is organized and consistent.
Operations & Scheduling
Own the booking system: classes, appointments, and schedule coordination.
Ensure coaches’ schedules are updated, clear, and conflict-free.
Monitor attendance, cancellations, and reschedules to keep sessions running smoothly.
Administrative Precision
Manage sheets and databases (Google Sheets, HubSpot/Bigin) with accuracy.
Keep internal documents, trackers, and reports updated.
Check and maintain supplies (equipment, supplements, water, cleaning products, merch).
Coordinate with external vendors and suppliers as needed.
Personal & Business Support
Handle errands, purchases, and order management (supplies, merch, supplements).
Coordinate with suppliers, service providers, and partners.
Assist with travel or event logistics when required.
Process Optimization
Identify and suggest improvements to workflows and systems.
Reduce friction in communication and operations by spotting problems before they escalate.
Results
Members’ questions are answered and problems solved without leadership needing to step in.
Schedules run smoothly, with minimal conflicts or last-minute chaos.
Supplies are always stocked, vendors are managed, and logistics are handled proactively.
The leadership team has more time to focus on growth, knowing execution is handled.
Operations are clear, documented, and reliable — no loose ends.
Requirements
1–2 years of administrative experience.
Strong communicator: fluent in Arabic & English, able to adapt tone depending on the situation.
Tech-savvy: Google Sheets, HubSpot/Bigin, WhatsApp management.
High emotional intelligence (EQ): can read the room, stay calm under pressure, and adapt quickly.
Outcome ownership: if it’s in your lane, it’s handled — no babysitting required.
Discretion and professionalism: sensitive member and business info stays private.
Organized, detail-oriented, and reliable.

Location & Schedule
Location: New Cairo (on-site)
Schedule: 5 days per week
Compensation & Benefits
Salary: 12,000 – 15,000 EGP per month
